Key concepts

A few ideas run through all of Zinye HR. Learn these and the rest makes sense.

An employee is one person on your team. Their employee record is the single profile that everything hangs off — their leave, attendance, pay, and expenses all link back to it.

Department, designation, and “reports to”

You organise people with a department (e.g. Sales), a designation (their job title), and a reports-to link (their manager). This structure is what powers approvals — a leave request, for example, goes to the right manager automatically.

Leave is time off. You define leave types (sick, casual, annual) and a leave policy that says how many days each person gets. Staff then submit a leave application, a manager approves it, and the person’s balance updates on its own.

Attendance records who was at work and when. Staff can check in, you can mark attendance in bulk, and with shifts set up it can be worked out automatically.

Payroll is paying your people. You build a salary structure (the earnings and deductions that make up someone’s pay), assign it to employees, then run payroll to produce everyone’s payslip in one go.

An expense claim is how staff get paid back for money they spent for work. They submit it, a manager approves the amount, and it’s reimbursed.

The self-service portal lets each employee do their own routine HR — apply for leave, check in, view payslips, and submit expenses — without going through your HR team for everything.
